CANCELLATION/REFUND POLICY
Something happened last minute, and you cannot join us this year after you have already paid your registration?
If a competitor requests for a refund within 48 hours of cancellation within the Early Bird registration deadlines, refunds will be issued within 30 days after (October 28th) the close of the competition. Once the Early Bird registration deadline expires, sadly, refunds will no longer be issued; however, you will be credited toward the following year’s competition.
We are unable to refund deposits, spectator tickets, Gala Dinner seating, or Training Camp admission once purchased. A portion of the Competition Registration Fees of $50 (for adults); $30 (Youth); and $45 (Collegiate) will not be refunded, regardless of cancellation deadlines.

We hold no responsibility for loss or theft of articles left in changing rooms, ballrooms, hotel rooms, or other event facilities can be accepted by the organizer. Nor can the organizer, be held liable for injury sustained by persons attending the event; it being hereby stated that persons attending the event do so at their own risk. All persons attending this event, whether as spectators, athletes, officials, or guests of the organizer, shall be bound by the rules of IDSF DanceSport for those portions of the event sanctioned by ISDF DanceSport. All athletes may be subject to drug testing by the IDSF.
Risk Liability Disclaimer:
By entering into the competition or attending any of the weekend’s events, it is understood, and you acknowledge that there are risks associated with dance and this event, which include by not limited to personal injury, risk of loss, or damage to property. The Sheraton O’Hare; nor the Organizer cannot be held liable for personal injury, risk of loss or damage to personal or stolen property, this includes risks associated with dance and this event, which include by not limited to personal injury, risk of loss, or to COVID-19, sustained by persons attending the event but not limited to, volunteers, employees, vendors, sponsors or any other person acting on behalf of the Sheraton O’Hare and/or the Organizer.
Participates voluntarily enters the Competition, Dance Camp/Workshops; and/or Social Dances assumes all these risks. Participates hereby swears that to the best of their knowledge they are physically and mentally to participate in this event.
The Chicago Sheraton O’Hare is a non-smoking establishment.
The Organizer nor the venue is not responsible for loss or theft of articles left in hotels, changing rooms, ballrooms, parking lot or other event facilities.
The ballroom is cool; please dress warmly as no outer-wear jackets or coats and no large bags or backpacks are permitted in ballroom.
Persons not conforming to acceptable standards of behavior may, at the sole discretion of the event organizer or hotel staff, be asked to leave the event venue premises.
Photo/Video Disclaimer:
By entering into the competition or attending any of the weekend’s events, hereby grant the Organizer your full permission without expiration to use photography and/or video taken of me/us, as well as our testimonials/comments and background information that we have provided to the Organizer for promotional and editorial purposes, which would include the organizer’s newsletter, displays, magazine articles, brochures, direct mail, displays, ads, website, social media sites, email correspondence/newsletter and for any other public relations or advertising purposes.
I/we understand that photography copyrights of the photography and/or images, unless negotiated otherwise by the Organizer, are customarily held by the photographer.
By entering into the competition or attending any of the weekend’s events, you hereby grant full photo usage permission unconditionally and without time restriction or expiration to the Organizer, and its agents, with the understanding that monetary or bartered compensation is not required or expected.
Additional Permission Granted by the Photographed Subject: ▶The Organizer may release our names, descriptive copy and credentials in any/all printed materials, website, ads, editorials and other promotional uses.
Photography/Videography during the Event:
If the Organizer has contracted a photographer/videographer for this event not only, will they taking photos/videos for the organizer, is available to take photos/video for individuals to purchase, you must go through said photographer/videographer and pay his/her published rates separately and his/her rates are subject to change.
For private individual or personal photos and videography are allowed; however, you may only take photos/videos while sitting in your seat or in the designated area. If the contracted photographer is taking photos in the designated area, please be respectful and wait until the area is free. Please DO NOT obstruct anyone else’s view of dancing. In addition, camera/video lenses that extend more than 6 inches beyond the base of the camera are not allowed. There will be no photographing or videotaping from the competition floor, aisles, or walkways. No flash photography is allowed unless you are the official photographer. All pictures/videos are for one’s personal use and are not for commercial use or sales. Monopods are allowed if no one’s view is obstructed, but one must be seated when using the monopod.
By your admission to this event, you understand you have granted the Organizer full permission without expiration to use photography/videography of you. The Organizer is not liable for other non-contractual individuals at the event taking photos/videos taking and is shared on social media platforms outside the social media platforms held by the Organizers; however, if you request a photo/video on the Organizer’s social media to be removed, it will be promptly, but not guaranteed that it is permanently removed, since social media items can be shared.
